Annotate a PDF

Add text, notes, or an image/stamp to a page or text to all pages of a PDF

SmartCert's document viewer includes a set of annotation tools that let you mark up, label, and sign documents directly in the platform. Available tools include drawing, highlighting, signatures, images, stamps, notes, and text.

Before you start: If you're working with a supplier SmartCert, you'll need to make a copy before you can edit it. To do that, click the document icon at the top of the SmartCert you want to copy:

Adding Text to Every Page

Use this option when you want the same text to appear on all pages of a document, such as a watermark, label, or status note.

  1. Open the SmartCert in Edit mode. You'll be in edit mode automatically when copying a SmartCert, or you can click the pencil icon from the dashboard or inside a SmartCert to enable it.
  2. Scroll down and click the file to open it in the document viewer.
  3. Click the TT icon in the toolbar above the document.
  4. Type your text in the popup window.
  5. Your text will be applied to every page, starting in the upper right corner.

To adjust your text annotation:

  • Move it by clicking and dragging it to a new position on the page.
  • Delete it by clicking the text box and removing the text.
  • Change the size, font, color, or opacity by clicking the text box and using the secondary toolbar above the document.
When you're done, download your updated document and click Save SmartCert to keep your changes.


Adding an Image, Signature, Stamp, Note, or Text to a Single Page

Use these tools when you want to annotate specific pages rather than the entire document.

  1. Open the SmartCert in Edit mode and click the file to open it in the document viewer (same as steps 1 and 2 above).
  2. Click the pencil icon to the left of the stamp icon to expand the annotation options.
  3. Hover over each icon or click the dropdown to see what's available. Your options include highlight, signature, stamp, note, and text.
  4. Click the tool you want, then click anywhere on the page to place the annotation.
  5. To remove an annotation, click it and use the trash can icon.
  6. To adjust the size, font, color, or opacity, click the annotation and use the secondary toolbar above the document.
  7. When you're done, download your updated document and click Save SmartCert to keep your changes.
