Cert Compliance Review

It's as easy as importing the documentation you check certs against, e.g., internal requirements, industry specifications, or customer flowdowns. Once it's imported, it's ready to use anytime you review a cert. You can even set it up to check incoming certs automatically!

Why this is helpful
The cert review process is manual and time consuming for many companies. Complex documents are hard to review closely, and missing a key detail can mean costly rework.

SmartCert's compliance review helps by:

• Speeding up the cert review process, so you have more time for higher value tasks.
• Confirming the data pulled from the cert actually matches what's on the file.

How it works

1. Import your compliance documentation
   On the Specifications dashboard, click Import to upload the internal requirements, industry specifications, and customer flowdowns you check certs against. You can also write your own requirements in a text file or document and upload it the same way. For example, you might add a requirement that says:
   

   • No field can be blank
   • All chemical elements must be listed as percentages
   • All manufacturing must be done in the United States
2. Create a SmartCert, or open one from your supplier.

   1.  Open the detail view
   2.  Click Specifications in the right panel
   3.   Click Add a Specification (see Quick Guide to Create a Specification)
   4.  Select the documents you want to check the cert package against.
         You can select more than one at a time.
   5.  Click Check Compliance to view the results

3.  To check a cert package on your Created dashboard:

• • Open the SmartCert in edit mode
  • Click Add a Specification
  • Select the documents you want to check the cert package against. You can select more than one at a time.
  • Click Check Compliance to view the results

Review the results
SmartCert flags each result as green (passing) or red (needs review). This is your chance to look over the results yourself and decide whether the cert is good to use or needs updates. If the cert needs updates, change the status to Changes Required and message your supplier in the Conversations tab to let them know what to fix.

We recommend using statuses and sub-statuses so your team and other departments can see where each cert package stands at a glance.

Note: The compliance checks and data extraction are done using AI, which can make mistakes and because of that, there is never a guarantee of 100% accuracy. We always recommend that customers manually review and verify the data and edit any fields that are inaccurate.
