Create a SmartCert
Quick guide to Create a SmartCert
How do I create a SmartCert?
Creating a SmartCert is easy! There are six ways to create a SmartCert:1. Create a SmartCert by email
Create a new email or forward an existing email to inbound@SmartCert.tech
One email = one SmartCert, enabling you to add multiple files to one SmartCert
Decide what information you want in the subject line, if any. All data in the subject field will be captured. Any information in the body of the email will not be transferred.
NOTE: the email address sending to inbound@smartcert.tech must be listed as a user in your company account.
2. Create a SmartCert by drag-and-drop
Click the import tab
From here, drag and drop one or multiple files from your local folder or click the Manual Upload button in the upper right corner.
Our OCR technology will begin scanning the document for data and start processing your SmartCerts
To view the SmartCert, click on the Created tab
One file = One SmartCert.
Note: The SmartCert import processing time may vary based on document type, number of pages, document quality, system load, languages, and other factors. If you are having issues importing documents or you do not see SmartCerts created after a few hours, please contact support.
3. Monitor an email address for automatic SmartCert creation
SmartCert can also monitor an existing email address used by your vendors to send certs. Each email from a vendor can be instantly translated into a SmartCert to streamline your receiving process and enable you to use SmartCert’s compliance check as certs are received.

4. Copy a SmartCert from your supplier or existing inventory
You can make a copy of a SmartCert from your supplier or current inventory by clicking on the three dots/ellipsis on the Received dashboard OR opening the SmartCert you want to copy and clicking on the Copy to new SmartCert icon located on the top right navigation next to the delete function.
This new SmartCert will be located on your Created dashboard and the data and documents can be adjusted as needed. This SmartCert can be included in a SmartCert package or sent directly to a customer by clicking the arrow/share button.
5. Create a SmartCert for a lot/build your inventory in SmartCert
You can create your own SmartCert by clicking on the Create button at the top of your screen. The SmartCert offers standard fields for information you want to include for reference and searchability. You only need to fill out one field to create and save a SmartCert.
Many companies choose to create SmartCerts for lots, allowing them to send the same SmartCert/certs to any customer who is ordering against that inventory. However, if your inventory and/or certs are all customer-specific, you can include the customer name in the Customer field of the SmartCert.
Pro Tip: We can front load your existing inventory and automatically generate SmartCerts with your digital documents! This eliminates the need to manually build your inventory and provides a fast track to sending SmartCerts to customers! Email support@smartcert.tech to learn more.
To create a SmartCert
Click the “Create” button located at the top right corner of your dashboard.
Fill out the available fields to help with reference and searchability.
Tip: While only one field is required, we recommend including details such as Part, Lot, Manufacturer Lot, and Customer Lot for more effective tracking and searchability.
In the Files section, click “Upload a file” to select documents from your local drive, or simply drag and drop the certs into the upload area.
Once your documents are added, click “Create SmartCert” to complete the process.
6. Create a SmartCert package for a shipment
SmartCert packages allow you to add SmartCerts for each line item of your shipment, providing excellent organization and minimal effort to build a cert package for a customer shipment. The SmartCerts for each line item can stay generic to the part, and the Package allows you to add customer-specific information like PO/SO, as well as documents like a packing list, CoC, RoHS, etc.
