[Document Processing & Compliance Checks](https://kb.smartcert.tech/knowledge/knowledge-base?hsLang=en#document-processing-compliance-checks) # Guide to Using the SmartCert Workbox ## Workbox is a shared task inbox for your team on the SmartCert platform that displays pending SmartCert actions. Think of Workbox as an email inbox for work. Tasks arrive automatically and remain on the list until someone completes or dismisses them.  Tasks are generated based on your organization’s **Add to Workbox** Automations settings. Workbox is especially valuable for larger teams, where multiple people share responsibility for SmartCert activity and need a clear way to split the work. Team members claim tasks, so two people don't work on the same cert package at the same time. Each task shows its current status, its assignee, and the actions available. ##### **Workbox layout** **The Workbox has two sections.** 1\. **My Tasks** lists the tasks assigned to you. 2\. **All Tasks** contains a list of tasks across the team. By default, it is filtered to tasks that are **Not Snoozed** and **Unassigned**, so it works as the pool of available work. Use **Clear filters** to see everything, including tasks other people have claimed or snoozed. Use the **refresh** button at the top right of each section to reload the list. Use **Rows per page** and the arrows at the bottom to page through results. Each section shows the task type, a summary, the assignee (the team member working on it), the time the task arrived, and the action icons available for it. ##### **How are My Tasks assigned?** 1. Unassigned tasks appear in All Tasks until a team member picks them up. To claim a task, click the ellipsis (…) at the end of its row and select **Assign to me**. The task then appears under My Tasks. 2. You also have the option to click T**ake 10 Tasks** to assign yourself the next 10   available tasks all at once. If you are unable to work on or finish a task, click on the three eclipses (…) at the end of the row to release it from your tasks and return it to the pool. ##### **Task actions** Each task has the following action icons, from left to right. **Download:** Downloads the SmartCert for review. **Merge and download:** When a SmartCert contains multiple files, this pulls all files out of the SmartCert, merges them into one pdf, and downloads the resulting file. **Approve and download:** Approves the cert package and downloads it in a single step, which provides a status update for your team, and instantly notifies your supplier. **Approve:** Marks the cert package as reviewed and accepted without downloading it. **Reject:** If information is missing or incorrect, you can reject the cert here, open the cert, and click Changes Required to use the chat in the Conversations tab and communicate directly with your supplier on what needs to be updated on the cert package. Click the Snooze button again to un-snooze the task. **Dismiss**: Dismiss removes the task from the Workbox tasks altogether. The cert remains in your received dashboard. **Best practices** - Claim a task before working on it so teammates can see it is in progress. - Release or snooze tasks you can't finish so others can pick them up. - Check All Tasks with filters cleared if you suspect a task is missing. It may be snoozed or assigned to someone else.
