How does SmartCert AI know what data is relevant?

SmartCert AI relies on clear instructions to find and extract data from your documents

Think of SmartCert AI as a highly capable assistant. If you just tell it to find "Date," it might get confused — a document could have a Shipping Date, an Invoice Date, and a Due Date all on the same page. Which one did you actually mean?

Your SmartCert Default Layout or a Custom Layout you create is how you direct SmartCert AI what to look for on a document. It's essentially a set of instructions that says, "here's what matters to my business, and here's how to find it."

When you're building a layout, precise Labels and context-rich Descriptions are what give SmartCert AI the guardrails it needs to find the correct value: not just any date, but the right one. We've built custom prompts for each of the 250+ data points available out of the box, and you can add your own specifics on top to account for how a particular supplier formats certs, or how your team uses a value internally.

For example, going back to that Date problem: if your document has an Invoice Date, a Due Date, and a Shipping Date, you'd set up the data point like this:

Label: Invoice Date
Field Help/Tooltip: The date the invoice was issued by the supplier, usually found near the top of the document. Do not confuse with Shipping Date or Order Date.

With that level of detail, SmartCert AI knows exactly which date to pull, even with three dates sitting on the same page.
